Although professional document scanning solutions aren’t as expensive as you might think, sometimes people wonder if the amount and type of documents that are needed to be scanned are enough to warrant the need to hire a document scanning company to scan, archive and index the documents for them.
As someone who has been in the document scanning and indexing market for a while now, you might expect me to say that whatever the amount of documents you have, they should be scanned professionally, but this isn’t always necessary. It can depend on the type and quantity of documents that you have. For example, simple Word documents with little or no unusual set up don’t always need to be given to a professional scanning service, especially if you only have 50 or so which could be done by a member of staff in a relatively short time. Admittedly a document scanning service could do this at ten times the speed, but we are living in hard times where every penny counts.
It may be common sense, but if you have 100-100,000 documents perhaps in different formats and sizes and from different times throughout the years of your company, this is a good time to call the big boys in. Document scanning companies are made to handle large quantities of files with their industry strength scanning equipment and specialty software and this is where they really shine. Documents can be scanned very quickly indeed, they can be processed with OCR (a modern way to make all documents searchable by text on your computer) and can be indexed in any way that you prefer. This is a sensible and forward thinking method that could in the end save your company thousands of hours and pounds. Turnaround could be a lot quicker than you expect and costs could be even better.
As I always recommend, get a sample from the companies that you are thinking of working with as it could be the difference between a very good job being done and a very bad one. Also check if the company had any accreditations such as the coveted ISO 9001:2000. Going digital is the way forward and you want to do it using the best company for your document scanning solutions that you can within your budget.
